A clear path. From scan to plan.
A practical workflow for your clinic: collect reliable records, prepare a digital plan, review it and coordinate the next stage.
This guide explains the clinical workflow. Use the operating instructions for your device and enabled software version for exact controls. Clinical decisions and final plan approval remain with the treating clinician.
Set up a complete workflow.
Confirm equipment, file compatibility and planning responsibilities before the first case.
Capture
Intraoral scanner and compatible computer; photography equipment; clinician-selected imaging access.
Plan
Activated planning account, trained operator, verified transfer formats and a designated planning contact.
Review & deliver
Treating clinician, secure case records and a confirmed production recipient.
Select the available imaging pathway
X-Ray source + image receptor
Use a compatible digital sensor, or a phosphor plate and reader, for clinician-selected intraoral radiographs. Handheld X-Ray does not replace panoramic or cephalometric equipment. Arrange those examinations separately when indicated.
Clinical indication comes first
Having CBCT does not make it necessary for every case. If indicated, retain the original volume and report. Confirm the data transfer, segmentation and scan-registration service before planning with a root-and-bone model.
One case, complete records
Send the clinician’s examination request to the imaging provider. Ask for usable original images and a report, with patient identity and dates. Review the returned records before proceeding.
Use existing diagnostic images when suitable. Additional exposure requires clinical justification; CBCT is not a routine prerequisite for using planning software. [1, 2]
Open the case
- Assign one case ID and record the treating clinician, data collector and planning contact. Confirm whether the clinician or a designated team will prepare the design.
- Record the chief complaint, relevant medical and dental history, clinical examination, treatment goals and existing records. Confirm permission before sharing patient information.
Ready when: patient identity, case ID and clinical responsibility are consistent across all records.
Collect images
- Take facial and intraoral photographs using the clinic’s approved photography protocol. Record the date and view; retain clear original files.
- Review existing radiographs first. The clinician selects additional imaging for the clinical question. Match every image to the patient, examination date and anatomical region; keep the report or interpretation record.
Ready when: the clinician considers the records sufficient for assessment; missing examinations have a clear follow-up action.
Scan & check the bite
- Prepare and process the scanning tip according to the manufacturer’s instructions. Open the correct patient record and follow the scanner’s workflow for both arches and bite registration.
- Inspect coverage, missing surfaces, double contours and stitching artefacts. Compare the digital bite with the clinical bite. Correct acquisition errors before export; retain the original scan project.
Ready when: both arches and the bite are correctly matched, readable and accepted by the clinician.
Import & verify
- Confirm accepted file types and transfer requirements for your installed software version. Export upper and lower arches with clear labels, retaining the required bite relationship.
- Create or select the corresponding case in the planning software. After import, check patient identity, arch assignment, orientation, scale and bite again. Keep any clinical records that are not supported by the software in the clinic’s approved record system.
STL, PLY, OBJ and DICOM are format names, not a guarantee of compatibility. Confirm import options and any required processing with Auralis for your version.
Ready when: the imported case matches the original records. A successful upload alone does not complete this check.
Create the plan
- Start from the clinician’s diagnosis and prescription. AI suggestions are a draft for review. Document the treatment objectives, constraints and any questions that require clarification.
- Use the chosen planning route below. Only use modules enabled for your account and covered by your training. Treatment mechanics and movement parameters are determined by the treating clinician.
Choose your planning route
Clinician-led design
Generate an AI-assisted draft, review the setup, make clinical adjustments and save the version for approval. The clinician remains responsible for treatment decisions.
Team-supported design
Send the records and prescription to the designated planning team. Review the returned draft, request changes and confirm the final version. Verify the team service and account access before starting.
Ready when: a clearly identified draft, design notes and unresolved questions are available for clinical review.
Review & approve
- Review the starting model, treatment objectives, final position, staging and auxiliary procedures against the prescription. Where relevant, check attachments, interproximal reduction, extraction and anchorage requirements.
- If root-and-bone models are used, verify their data source and review segmentation and registration before relying on them. Discuss the plan with the patient and record the clinician’s final approval and version.
Ready when: clinical questions are resolved and the approved version is unambiguous. A shared animation is not a production approval.
Hand over for production
- Send the case ID, approved plan version, file list and production scope to the designated recipient. Include relevant attachment and clinical procedure instructions.
- Obtain acknowledgement of the files and version received. Verify compatibility with the actual manufacturing workflow. Printing, forming, trimming and material processing follow separate validated equipment and material instructions.
Ready when: the recipient confirms the exact approved version and any production questions are resolved.
Follow up & revise
- The treating clinician sets the follow-up schedule and documents clinical progress, appliance fit and any difference from the planned course.
- If reassessment or revision is needed, identify the current stage and new data date. Preserve the previous plan, review the revised plan, and communicate the new approved version to everyone involved.
Ready when: the current plan and follow-up responsibility are clear. Additional imaging is selected for clinical need, not a fixed software schedule.
One last check.
Use this as a session checklist. Selections reset when this page is reloaded; keep the signed clinical record in your clinic’s record system.
When a step needs attention.
The scan will not import.
Record the file type, software version and exact error. Confirm format, file size and transfer requirements; check that the original export opens correctly. Contact support with a de-identified example where possible.
The digital bite looks wrong.
Return to the original scan and compare it with the clinical bite. Correct arch assignment or acquisition errors using the scanner’s instructions, then export and verify again before planning.
Can a screenshot replace CBCT data?
A screenshot cannot supply a full volumetric dataset. If volumetric review or root-and-bone processing is required, retain the original data and confirm the accepted transfer route.
The plan needs changes after approval.
Contact the production recipient promptly to clarify whether work has started. Label the revision, preserve the prior version, repeat clinical review and obtain acknowledgement of the new approved version.
